Executive Assistant for COO (position code: EAC)
Responsibilities
Reporting to an Expatriate COO in Jakarta, the Executive Assistant will work with Managers, Directors and Consultant teams in Jakarta office as well as around Asia Pacific Region when required, providing robust administration and logistical support.  The incumbent responsibilities include but not limited to: 
  • Extensive diary management: maintain calendar for appointments, calls, meetings, VIP visitors, key projects and follow-up tracking. (The COO requires executive assistant to be the `gate keeper' to ensure COO's schedule not overcrowded with meetings getting in the way of work time)
  • Function as the liaison between clients, directors, manager and staff including non-English speaking staff (driver and household staff).
  • Liaison with bank, insurers and medical providers 
  • Coordinate travel arrangements and travel itinerary and portfolio, including flights, hotels, drivers, venue details and concierge contact including coordinate arrival/departure of personal family visiting Indonesia.
  • Coordinate in-house meetings, including conference room set-up, beverages/food, etc;
  • Research and compile materials needed for meetings, calls, projects, etc and coordinate / oversee document production and projects, as requested.
  • Perform administrative tasks in timely manner which include filing, time sheet recording, expenses report, invoices process, maintain client files, contacts database and record keeping needs of the company;
  • Prepare monthly status report for regional HQ, with content provided by COO
  • Complete special projects and coordinate meetings regarding status of projects as assigned.
Requirements
  • Bachelor degree in Administration or diploma degree in secretarial
  • Extensive professional experience (around 4 to 5 years) in similar role
  • Work experience in multinational consultant firm or media agency will be an advantage
  • Display professional sensitivity, high levels of integrity as well as maturity in day to day dealings with clients and colleagues
  • Maintain high level confidentiality and commits to the firm's standard of excellence
  • Have professional, intelligent and responsive approach and a positive attitude
  • Demonstrate excellent oral and written communication skills and has ability to initiate and compose own correspondence.
  • Strong command of English language (verbal and written) is a must.
  • Ability to communicate in written or verbal to teams and clients including Directors level and above in clear and concise manner.
  • Demonstrate excellent organization/administration skill, time management skill and extensive attention to detail as well as ability to forward thinker to anticipate.
  • Able to work on own initiative to have solution orientated approach in handling multiple task.
  • Ability to work accurately and effectively with high degree autonomy 
  • Works as a team player and display flexibility when performing tasks.

Consultant, Public Affairs (position code: CPA)
Job Description:
The consultant will be responsible for managing communications programs for IndoPacific Edelman’s clients. He/She will be involved in planning and implementation of media and other stakeholder communication programs for clients. The incumbent will also be responsible for account management for assigned clients in terms of budgeting, financial management and business development.  The consultant at this position will be required to interact with senior level management of the firm’s clients.

Required Skills:
  • Posses diploma or bachelor degree from reputable universities in Indonesia or overseas, with major in communications, politics, economy, management, law, international relations or literature
  • Minimum 2 years working experience related to communications
  • High degree of interpersonal and communication skills
  • Excellent in both oral and written communications in Bahasa Indonesia and English
  • Deadline oriented with good project management skills
  • Ability to think strategically and out-of-the-box

Required Skills:

Account Executive
Job Description:
  • The Account Executive responsible for providing account support in the development and implementation of public relations programs under the supervision of the Group/Account Manager.  His or her duties will include:
  • General account service administration and project coordination
  • Preparation of client status report and media relation
  • Completing all assigned task professionally in timely manner and in line with company policy and procedure
  • Controlling budget and supplier costs in relation to assigned task
  • Provide suggestion and initiate improvements to elements of programs being undertaken
  • Initiate and maintain relevant media liaison
  • Participate in the formulation and review of client communications strategies with the Account Manager or Group Manager
  • Required Skills:
  • Posses diploma or bachelor degree majoring in communication or social studies
  • Having considerable working experience related to public relation
